Booth Sponsors:

CITYNEON Philippines is the official booth contractor for the 22nd FAOPMA Annual Conference. One (1) Standard Booth Shell Scheme will be provided per booth sponsor.

NOTE: Exhibitors are responsible to shoulder the expenses of special custom booth designs or additional facilities/furniture rentals. For special custom booth designs and additional facilities/furniture rentals please contact CITYNEON Philippines directly to make arrangements.

Each standard booth is equipped with the following amenities:

A. STANDARD BOOTH SHELL SCHEME (2.0m x 3.0m):

  • Three sets of rear dividing walls and 2500mm high melamine panels supported by white powder coated aluminum framing systems. Corner booths will have no partition wall at the end side but will have extra fascia board.
  • Flooring: 6sqm. Needle punch carpet lay direct to the floor.
  • Electrical: (2 units) 40 watts Fluorescent Lamp Sets & (1 unit) 220V 2-prong convenience outlet
  • Furniture: (2 units) White folding chairs & 1 unit Information Desk (L1025xD525xH770mm)
  • Company's name and booth number in self-adhesive PVC lettering

Exhibitors Guidelines

  • Floor marking will take at least 4 hours (minimum) before entry of special design contractor.
  • All heavy displays should be place in their booth after installation of carpet; otherwise it will be charge as an outright purchase.
  • Official carpet color chosen by the Organizer is not allowed to change unless a special arrangement has been made by the exhibitor prior to ingress and subject to additional charge.
  • All furniture and electrical provisions included in the shell scheme package cannot be changed to other items without prior approval from Cityneon before the ingress.
  • Additional facilities like furniture, furnishings and showcases electrical and audio visuals, panels with framing, plants and flowers, etc. may be rented by the Exhibitor only from the Official Contractor unless such additional facilities are not available from the Official Contractor. See Manual for Additional Facilities Order Form.
  • The Exhibitor is prohibited from painting, puncturing by screws, tacks and nails, pasting or any action that may otherwise damage or disfigure the booth shell and/or the framing system. The Official Contractor shall supply the proper hooks (for hanging) at an additional cost and non-damage adhesive should the Exhibitor require these items.
  • It shall be the responsibility of the Exhibitor to maintain and ensure that the Booth System and supplied facilities be kept from any damage or loss for the duration of the exhibition. Any damage, loss or disfigurement of the system or supplied facilities while the booth is in the care of the Exhibitor shall be repaired or replaced at the Exhibitor's expense.
  • All exhibitors must submit their power load requirement to Cityneon for proper installation of electrical supply to avoid power interruption during the exhibit proper.
  • All electrical wirings by exhibitors and other contractors should be properly covered or taped.
  • All standard convenience outlets are rated to handle a maximum loading factor or 200 watts per outlet (not for lighting connection). The Exhibitors are requested to be guided accordingly.
  • Exhibitors shall not be allowed to connect any electrical device other than those, which can be plugged into the convenience outlets provided. Only the Official Contractor or his authorized representative shall be allowed to install electrical connections within the exhibition hall.
  • All electrical displays must conform to government standard and exhibit venue safety requirements. The Organizers and/or Official Booth Contractor reserve the right to refuse connection and/or disallow the installation of any display or electrical devices and/or remove such displays or devices, which fail to conform to the safety standards.
  • Other than those provided by the organizer, the exhibitor is responsible for additional materials and equipment related to the construction of their booth.
    Example: extension chord, trolley, scaffolding
  • Display material / exhibition stands exposing unfinished surfaces to neighboring exhibit spaces are not permitted and must be remedied at the exhibitors' expense.
  • Cityneon Phils., Inc. shall be the sole Official Contractor for the exhibition. No other contractor may be allowed to construct, assemble, decorate, install or supply any materials or provide any services within the exhibition without prior approval from the Official Booth Contractor.
  • The Official Contractor shall require accredited Contractor(s) to submit plans and other shop drawings for approval at least 30 days before scheduled ingress. Cityneon also reserves the right not to allow the installation of designs and materials not approved or without prior approval.
  • Exhibitor/s using Outside Contractor should submit the name of the Outside Contractor/Designer.
  • Requests for additional facilities must be submitted to the Organizers and/or the Official Booth Contractor before the deadline. After this date, The Organizer and/or the Official Contractor shall have the option to accept or refuse orders for additional facilities.
  • Late orders, if accepted, shall be serviced on a first-come, first-served basis with no guarantee of delivery on time and will be subject to Additional Facilities Late Order Surcharge of 30%. All on-site orders are subject to availability and 50% surcharge payable in All on-site orders must be requested to the project manager or event coordinator. No payment no delivery is strictly implemented for all additional amenities requested.
  • As per Venue regulation, only the Official Contractor is allowed to build/construct the booth, special design and do electrical connection inside the exhibition hall during the exhibit. All works done by outside contractor shall be supervised by the official contractor. In line with this, Service & Responsibility Fee (250.00/sqm.) will be collected from outside contractors.

SMX CONVENTION CENTER EXHIBITORS' BRIEFING

I. INGRESS PROCEDURE

A. Arrival/Entry of Exhibitors:

  • The Delivery Bay Area shall be open within the official ingress schedule.
  • The regular operating schedule of the building will follow the official event hours.
  • During the event, early entrance of organizers and exhibitors will be thru the back door of the building prior to official event hours. Wear your event ID. Strictly No ID, No Entry.

B. Delivery of Materials

  • Delivery is strictly thru the delivery bay area at the back of the SMX building (facing Manila Bay). No delivery shall be allowed using the main entrance of the building even during the event proper.
  • Delivery at the third floor is via the freight elevators and car lift located at the delivery bay area.
  • The Basement Parking may be used for vehicles/trucks who need to park BEFORE or AFTER delivery of exhibit goods, subject to carpark fee. Carpark vertical clearance is 2.4 meters. Open parking areas near the SMX Convention Center are also available for big delivery/container trucks.

C. Gate Pass

  • Gate Pass forms may be acquired from the Secretariat/Organizers.
  • Exhibit items/materials should be covered by a gate pass signed by the organizer to be presented to the Security Guards prior to entry.
  • Gate Pass forms should be accomplished in two copies: Copy 1 - Organizers/ Security Guard. Copy 2 - Exhibitor's copy.

II. CAR PASSES:

A. Event Car Pass

  • Used during the exhibit proper. It is prepaid and allows multiple entry for the entire day. May be purchased from the organizers prior to the event. (This is optional)
  • Basement Parking opens at 7:00 am from Monday - Sunday.
  • Regular parking fee of P 40.00 upon entry will be charged to vehicles without carpasses. Present the carpass to the cashier prior to entry. Cashier will issue a complimentary ticket.
  • Surrender the complimentary ticket to Exit Guard. Lost ticket will be charged P150.00 plus the regular parking fee.

III. EGRESS PROCEDURE:

  • Follow the official egress schedule. No one will be allowed to pull-out any item prior to the prescribed schedule.
  • Accomplish the gate pass form and have it signed by the organizer.
  • Pull out of items will be thru the delivery bay area only via freight elevators.
  • Pull out of items using escalators and passenger elevators will not be allowed.
  • Leaving of items after the egress schedule is not allowed. Exhibitors who fail to pick-up their items shall be charged a storage of P500.00 per company per day. Items not picked-up after three days shall be disposed of.

IV. SECURITY & MAINTENANCE:

  • The organizers deployed Security Guards and Janitors during the event for general security and maintenance of the hall.
  • Janitors are not allowed to enter exhibitors' booth for security reasons. You may leave your garbage in the aisles for pick-up of the janitors.
Exhibitors are responsible in cleaning and securing safety of own booths.

V. IMPORTANT REMINDERS:

  • Please deliver the exhibit items straight to your booths. Leaving items in the loading bay or common walkways is strictly prohibited. SMX and the organizers will not be held liable for any loss or damage to your items.
  • Items should not be dragged to avoid damages on the floor/carpet. If you are using delivery carts, make sure that they have rubber rollers.
  • Pushcarts and other heavy objects are not allowed in the lobby elevators and escalators. Delivery of any items to the third floor is thru the freight elevators.
  • No carpentry other than assembly of pre-fabricated booths should be done inside (e.g.. wood cutting, drilling, welding works, etc.).
  • Painting and varnishing inside the venue is not allowed. Only water based paint is allowed for re-touching of special booths.
  • Contractors as well as exhibitors should be properly attired even during ingress/egress. Wearing of slippers, shorts and sando will not be allowed.
  • Contractors/sub-contractors should provide carpet protectors for booth/display set-up.
  • Use of strong adhesives like packaging tape, glue gun, etc. is not allowed on any surfaces of the venue.
  • Coordinate with the organizer if you have:
    - streamers/banners which you need to hang so they can supervise the installation properly.
    - additional equipment which will require tapping from the emergency meter.
  • Cooking of any kind and by any means is strictly prohibited. Bringing of food and drinks purchased outside the venue is not allowed. Only SMX accredited caterers are allowed to provide food and beverage in the venue. Meals should be taken in designated dining areas provided by the organizer.
